“Have you looked at what I sent you a month ago?” If you hear that question often, your client requests live in e-mail, chats and meeting notes. The client doesn’t know where their request stands, and you don’t know how many are waiting.
One entry point for all requests
Invite clients to the portal with a link. There they submit requests and see only their own, with your replies and the status. They don’t see your tasks, your team or other clients.
Reply, estimate, plan
You read and reply to every request. If you’re going to do it, you give it an hour estimate and plan it into a quarter and a project. A task is created and appears on the board when the quarter starts. The client sees “Planned · Q2”.
The client knows where things stand
While you work on the task, the request is In progress; when you close it, it’s Done. The client gets an e-mail with every change, so they stop asking.
A quarterly plan
The quarterly plan shows the planned requests with estimated hours. So you know in advance whether a quarter is overbooked and can move things before you make promises.
Hours flow back into billing
The hour estimate carries over to the task, and the hours worked go into the client’s report and invoice. A request that started as an e-mail ends as invoiced work.
